OK, so we merge those where I said "2 groups" into one super group of 18 or so - that was just a way of saying these were so large they might be unwieldy and we weren't putting them down as 2 groups in the program. We were trying to slot the more popular topics into rooms by themselves, where they wouldn't dominate the other group. But you're right, you couldn't have one person leading two groups, even if they were in the same rooms. But we could acknowledge the popularity of them by giving them a room alone. [...]

Yes, sign up sheets at registration seem to be the best way to go.

No, the way you have it set up might not work so well. The 2 groups of
Statistics and the 2 groups of Reference need to be 1 in each session,
instead of 2 at the same time. I might not find another leader for the
2nd group and I could probably talk the same person into doing it twice. [...]

First, I like the schedule, especially since it puts Karen Vargas in the 2nd round of sessions. Since the Go Local session was left off the original list, the main participants did not get funded to attend the meeting. Actually, the person who proposed the idea (but didn't want to lead the discussion because she is pretty new to SCC), has subsequently lost her job. That would have left me alone with the Go Local. If I might suggest something - why not wait until after early registration to brainstorm on who to handle the signups. We'll have a better idea of numbers then.
After yet another visit this week to the Hilton, it seems to me that the smaller breakout rooms at the Hilton might be amenable for 2 smaller groups (less than 6) but not for 2 groups of 8-10, talking in a roundtable forum. I think the noise levels might rise to where one group dominated the room. [...]

OK, we need a ruling, please, ASAP. Our form was based on what we got from Arkansas, which had 5 days for one-day registration options (and I think I heard that they based theirs on someone else's). We shifted the days, because this year it's different, but didn't add any. We can't change the paper one that went out, but we can change the online one, but it takes a while for Derek to make changes across the different forms (original, confirmation/changes, and email confirmation). Probably takes less time than adding things in, but still we need to do this [...]

I agree with Shirley, the CE courses are usually held before or after the actual conference. They do not count as a day of the conference. In the past, only the 3 real conference days have a one-day registration fee.

My opinion (should it be worth much) is that attending a CE is not the
same as attending the conference. The CE class fees pay for the cost of
putting on the class. The Conference fees pay for the cost of doing all
the other things we do...and if you attend any of that you have to

poster display boards. We did decide not to honor the request and the

The size might not have gone out in the re-call, but it went out as soon as we knew what we could get locally. I had even heard that some people would not be submitting a poster because they would have to pay to have it re-printed. Why should anyone be given special accommodation at this point when a special message went out in April about the odd sizing of these panels, and others might not have submitted posters because of the cost of re-printing?
We don't know - there may be more out there who are receiving their letters [...]

We don't have to have 4 rooms full at all times, nor do I need to add rooms in the afternoon.

All we are putting in the preliminary program for the timetable/schedule are the slots when things will occur.

I would like the final list and when you want them to occur by August 18 for working into the real program. And I've probably given out a different date at some point, but I can't find it right now! [...]

Holly, sorry for the confusion, I was looking at last year's program
where they had 7 expos in two rooms but for 2 hours. If you were
planning for 2 concurrent, that's fine with me. If you want to expand to
4 concurrent sessions we can since we have two extra rooms.

I'd really like to switch those to 9:00 - 10:00 anyway, because that way we could have the breakfast/opening of exhibits at 8 am. The way it's scheduled now, people who went to the TechExpos wouldn't get any of the food & drink. Posters are staffed from 10:00-noon, then the business lunch from noon - 2.

Donna Timm has a Power Point Presentation she designed in the form of
a Jeopardy game. Tons of technology involved and she may have other
specialties! I know she shared it at another professional conference,

Yes, the speaker (I believe there are only two) is Dean Adams from the College of Veterinary Medicine. He will talk about the program whereby the veterinary and human medical communities came together and evacuated all the patients from Rita to College Station, using the clinics at the vet school. They turned them into human patient wards. I'm sorry, I thought Martha had communicated this to you. Anyway, we have signed contracts, etc., and I believe he has decided to give his honorarium back to SCC. [...]

I'm just back from vacation this week and haven't dealt with any received since June 30th, so there may be a couple more than my count. Remember there are 2 roundtable sessions. 1st session, then 1/2 hour
break, the 2nd session. So could repeat the popular sessions with the
same facilitator.

I think 11 roundtables are a good start, but who knows if they will
meet the minimum needed, that's why we need to come a list of other
popular topics to pick from in the preregistration packet. Depending on
the space, if we have 4 rooms with 2 in each room, we can have 16
sessions total. I would love for this to be highly successful, that we
would have to ask Nancy to find [...]

Sorry to be slow in response - there are 11 topics with volunteers who
are willing to lead. I think that looks like a good number for our
first year in this format. I also think it is an interesting array of
topics.

In some cases there are 2 names, so I think we can count them as
Facilitator and Recorder. I think I need to develop some type of
instructions for them. So we need to "talk" about "publishing" the
results of the conversations. I think that was part of the original

Three per room might be do-able, but rather crowded, especially if 2 of the 3 were popular. We might have more of a problem with conversations bleeding over into other groups. Those smaller rooms have lower ceilings also, which might make them noisier for groups talking together.
We could possibly have 4 rooms with 16 total sessions. I need to go to the hotel this week or the next and look over things again and talk over the final schedule.

Here's what I'm going on. We have three rooms. Could we set up three
roundtables in each room, or would that be too much? That would be 9
roundtables for the 1st time period, and then 9 for the 2nd time period.

I agree with Shirley. If the poster presenters know the dimensions in advance, they can print the posters to fit one poster stand. Posters and stands are pretty standard, I don't think there will be any problems!

Thanks for the suggestion-- we are just about finished lining up all
our speakers-- but I will definitely keep him in mind and forward this
info to the rest of the program committee if anyone we had planned on
falls through. We are indeed planning a great meeting in College
Station-- if you have never been here, you may be in for a surprise at

Good news- I just got off the phone with Susan Fiechtner and we have a
lively speaker for our first general session on Saturday! I have no
doubt she will have valuable advice for us all in the area of
communication, working with and serving difficult people, handling
stress, expectations and managing time- with hilarious antecdotes.

was a real hoot to talk to and lived up to all Esther and Joe said
